Asset manager
It is essential for the building to be the central point of the organization and that the skill set is structured around it. This is the reason why Telmma has for many years chosen a privileged intermediary, the Asset Manager, for his ability to maintain the flow of information vis-à-vis its clients, for having the know-how to prioritise matters and for maintaining the net operating income of the buildings.
The Asset Manager’s role is paramount in providing advice to the owner and relying on Telmma's expert departments. The Asset Manager relies on the skills of the Operations Manager and the Works Manager, and coordinates their contributions.
The role involves:
- Advising owners on all aspects relating to the management, of their leases. The Asset Manager is the permanent contact between the tenant and the owner, especially when negotiating lease renewals.
- Supervising the net operating account of each building, ensuring periodic reporting and of meeting goals.
- Participating in due diligence processes, especially in matters of lease analyses and the technical audits of the building, and by assisting the owner downstream in any arbitration phase.
OPERATIONS manager
In line with specific job specifications, the Operations Manager ensures the daily management of the asset and is the contact for tenants, developed on a quality relationship. The Operations Manager suggests areas for operational improvement, particularly on energy issues, by coordinating related technical activities to insure proper maintenance and use, and monitoring the performance of sub-contractors.
The role involves:
- A rigorous monitoring of all technical, contracted and service providers in the interests of budgetary control and management optimisation.
- Follow-up on energy and sustainable development for the enhancement of the building asset.
- Ensuring the carrying out of all regulatory supervision of the assets.
- Setting-up operating budgets for the operation in hand.
BUILDING OPERATIONS MANAGER
The role involves:
- Proposing all the necessary works within the framework of the PPA’s settlement.
- Monitoring and coordinating the whole building operations, including the most important ones, within the framework of MOD and AMO contracts.
- Monitoring operations related to claims and tenants’ works.
QHSE DEPARTMENT (QUALITY, HEALTH, SAFETY, AND ENVIRONMENT)
- Assists other departments on Quality, Hygiene, Safety, and Environment matters.
- Ensures compliance of the owner's current regulatory requirements in areas of security for persons and property assets.
- Maximises the property's asset value by providing the highest level of QHSE benefits.
- Validates renovations carried out by tenants and verifying their compliance with legislation (Building and Housing Code, Labour Code and Environment Code, etc.).
- Provides expertise in cases handled by the Operations Manager or Asset Manager in the daily use of the asset.
- Assists building managers in the execution of third-party construction contracts, and helps with documenting the files of each project.
LEGAL DEPARTMENT
The legal department is involved in all of Telmma’s work on behalf of the company’s clients. Its main tasks are:
- Debt collection through settlement and legal procedures.
- The underwriting and monitoring of comprehensive insurance policies such as multiple risk, building-defects liability (dommage ouvrage) and workplace insurance policies (TRC).
- The management and monitoring of claims for multiple risk, building-defect insurance policies, together with help with expertise requirements and follow-up in settlements and legal proceedings.
- Legal monitoring regarding the implementation of new laws and regulations.
- Legal assistance for specific tasks and, where needed, in monitoring the drafting of all types of contracts and management instructions.
CO-OWNERSHIP DEPARTMENT
Telmma's Co-ownership Department offers its expertise to asset managers in matters of co-ownership of ASL/AFUL properties. It also implements a sustainable development approach in the management process of large co-ownership assets. This department operates with a specific approach in order to fully embrace the expectations of investors regarding:
- Budgetary management visibility on the status of assets and their amenities, as well as on the technical and legal options.
- Anticipation on investment projects in the medium and long term.
- Continuing efforts to improve ROI of services provided to clients.
INTER-COMPANY RESTAURANT DEPARTMENT
The quality of a company restaurants offered to tenants is inseparable from the quality of other utilities in the building. It contributes to the image and status which the company owner wishes to attribute to the asset. The 2001 implementation of a new tax scheme organising the management of inter-company restaurants was an opportunity for the Inter-Company Restaurant Department and of the staff restaurant at Telmma to develop business expertise to meet the new demands of investors and lessors.
Our mission:
Based on the objectives set down by the owners, Telmma assists by offering advice for the creation or operation of inter-company restaurant.
Inter-company restaurant creation:
- To analyse and present different possible organisational schemes.
- To prepare contract documents to be integrated into the lease.
- To coordinate the tender offer for the selection of a restaurant provider.
Inter-company restaurant management:
- To study the contract documents for the management of operations.
- To formulate recommendations for its organisation.
- To prepare contract documents related to the selected organisation.
- To present and to integrate the new structure to the parties.
